๐Ÿ“˜ Tally ERP 9 – Lecture 5

๐ŸŽ“ Topic: Ledgers, Vouchers, and Groups

๐Ÿ What Will We Learn Today?

Today we’ll learn:

  • What is a Ledger?

  • What is a Voucher?

  • What is a Group?

  • How to use them in Tally.

๐Ÿงพ What is a Ledger?

Imagine a Piggy Bank ๐Ÿ’ฐ

When you go to a bank for the first time, they open an account in your name. The bank writes your name and gives you a number. That number is your account number.

Similarly, in Tally, we create an account for every item like:

  • Cash

  • Computer

  • Rent

  • Electricity

  • Furniture

This account is called a Ledger.

Example:

If you buy a Computer, we make a Computer Ledger.
If you pay Rent, we make a Rent Ledger.

๐Ÿ“ Ledgers are just names in Tally for tracking money.

๐Ÿงพ What is a Voucher?

A Voucher is a kind of receipt or slip that shows the transaction.

๐ŸŽŸ️ Example:
You gave ₹1000 to your friend.

  • Voucher will show: "₹1000 paid to Friend"

In Tally, Vouchers help us:

  • Record entries like Sales, Purchases, Payments, and Receipts.

๐Ÿ—‚️ What is a Group?

When you have many ledgers, you organize them into Groups, like folders.

๐Ÿ‘จ‍๐Ÿซ Groups are like subjects in school:

  • Rent and Salary go into Expenses Group

  • Cash and Bank go into Assets Group

  • Sales and Income go into Income Group

Real-Life Example:

  • A book has chapters.

  • Each chapter has pages.

  • In Tally:

    • Book = Group

    • Pages = Ledgers

๐Ÿ’ผ Understanding Tally with a Real-Life Example

Rahul buys a Computer for ₹50,000

๐Ÿ‘‰ Step-by-step in Tally:

  1. What is Debit?

    • Computer is coming in → Debit Computer

  2. What is Credit?

    • Rahul gave cash → Credit Cash

  3. Do we need a Ledger?

    • Yes, make Computer Ledger

    • Cash Ledger is already made in Tally

  4. Which Group do they go in?

    • Computer Ledger → Fixed Assets Group

    • Cash Ledger → Already in Cash-in-Hand Group

๐Ÿ“š More Examples

๐Ÿ–Š️ Rahul pays ₹2000 Rent

  • Rent = Expense → Debit

  • Cash paid → Credit

  • Make Rent Ledger under Indirect Expenses Group

๐Ÿฆ Rahul deposits ₹20,000 in HDFC Bank

  • Bank is getting money → Debit HDFC Bank

  • Cash is going out → Credit Cash

  • Make HDFC Bank Ledger under Bank Accounts Group

๐Ÿซ Why Groups Are Important?

Without groups, Tally won’t know:

  • Which ledger is for what purpose

  • How to show reports correctly

๐Ÿ‘‰ Groups help Tally organize all accounts neatly

๐ŸŽฏ Practice Time

  1. Rahul bought Furniture for ₹10,000

    • What is Debit?

    • What is Credit?

    • What Ledger will you create?

    • Which Group will it go in?

  2. Rahul received ₹5000 as Income

    • What is Debit?

    • What is Credit?

    • What Ledger and Group?
